PARTIAL WEDDING PLANNING SERVICE AGREEMENT
This Partial Wedding Planning Service Agreement (“Agreement”) is entered into between Affinity Event Rentals (“Planner”) and the undersigned client(s) (“Client”).

2. DESCRIPTION OF SERVICES
The Partial Wedding Planning Package is designed for couples who have completed some of their wedding planning but would like professional guidance, organization, and assistance bringing the remaining details together.
Affinity Event Rentals will provide planning guidance and organizational support based on the services outlined in this Agreement.
The Partial Wedding Planning Package includes:
Planning & Organization
Initial planning consultation.
Review of the Client’s wedding vision, priorities, and overall plans.
Creation or review of a personalized wedding planning checklist.
Assistance establishing a realistic planning timeline.
Planning guidance and recommendations throughout the planning process.
Scheduled planning check-ins as determined by the Planner and Client.
Vendor & Wedding Logistics
Vendor recommendations and referrals when appropriate.
Assistance organizing vendor information and contact details.
Review of vendor services and logistical requirements.
Assistance identifying potential scheduling conflicts between vendors.
Guidance regarding vendor coordination and wedding-day logistics.
Assistance creating a comprehensive wedding-day timeline.
Wedding Design & Details
Guidance regarding overall wedding décor and design.
Assistance with ceremony and reception logistics.
Guidance regarding floor plans, guest flow, and seating arrangements.
Assistance determining rental and logistical needs.
Guidance regarding the overall flow and timing of the wedding day.
Final Planning
Final planning review prior to the wedding.
Creation or completion of the wedding-day timeline.
Creation of a final vendor contact/information sheet when applicable.
Review of important wedding-day logistics and responsibilities.
Final planning consultation to help ensure the Client is prepared for the wedding day.
3. PARTIAL PLANNING DOES NOT INCLUDE FULL WEDDING PLANNING
Client understands that this is a partial wedding planning service and is not intended to provide full-service wedding planning.
The Planner will provide professional guidance, organization, recommendations, and planning assistance; however, the Client remains responsible for making final decisions and completing tasks that are not specifically assigned to the Planner under this Agreement.
The Planner is not responsible for independently managing or completing every aspect of the Client’s wedding.
4. CLIENT RESPONSIBILITIES
The Client agrees to remain responsible for the following:
Making all final wedding-related decisions.
Booking and paying all vendors.
Reading and understanding all vendor contracts.
Making vendor payments by their required deadlines.
Providing accurate information to the Planner.
Providing final guest counts and other information required by vendors.
Communicating directly with vendors unless otherwise specifically agreed upon.
Providing final instructions and information to vendors when necessary.
Completing invitations, RSVPs, seating charts, place cards, signage, and similar personal wedding tasks.
Obtaining the marriage license and completing all required legal documentation.
Communicating wedding-party responsibilities to members of the wedding party.
Providing the Planner with updated vendor information and contracts when requested.
Responding to Planner communications in a timely manner.
Completing Client responsibilities and planning tasks by the deadlines established during the planning process.
Failure by the Client to complete assigned responsibilities or provide requested information may affect the Planner’s ability to provide services effectively.
5. COMMUNICATION
Normal communication will take place by phone, email, and/or text message.
The Planner will make reasonable efforts to respond to Client communications during normal business hours.
The Planner is not required to respond immediately to communications received outside normal business hours.
Client understands that the Planner may be working other weddings, events, or business obligations and therefore cannot guarantee immediate responses.
Repeated, excessive, or unreasonable communication requests may be addressed by the Planner and may require adjustments to the planning process.
6. PLANNING MEETINGS
The Planner and Client will establish planning meetings and check-ins based on the needs of the wedding and the timeline leading up to the event.
Meetings may be conducted in person, by telephone, or virtually.
The Client agrees to arrive prepared for scheduled meetings and to provide any requested information or documents.
If the Client needs to reschedule a meeting, reasonable advance notice should be provided.
7. VENDOR RECOMMENDATIONS
Affinity Event Rentals may provide vendor recommendations based on experience, availability, location, style, and other relevant considerations.
Vendor recommendations are provided as a courtesy and are not a guarantee of a vendor’s performance, availability, pricing, quality, or conduct.
The Client is responsible for selecting, contracting with, and paying all vendors.
Affinity Event Rentals is not responsible for the acts, omissions, performance, cancellation, pricing, policies, or quality of any independent vendor hired by the Client.
8. WEDDING TIMELINE
The Planner will assist the Client in developing a wedding-day timeline based on the information provided by the Client and participating vendors.
The timeline is intended to provide an organized framework for the wedding day.
The Planner cannot guarantee that every event will occur exactly according to the timeline because weddings may be affected by weather, vendor delays, venue restrictions, guest delays, transportation issues, emergencies, or other circumstances outside the Planner’s control.
9. CHANGES TO WEDDING PLANS
Client understands that wedding plans may change throughout the planning process.
The Client agrees to communicate significant changes to the Planner as soon as reasonably possible.
Changes may include, but are not limited to:
Venue changes
Wedding date changes
Guest-count changes
Vendor changes
Ceremony or reception schedule changes
Significant décor or design changes
Changes to the wedding-day timeline
The Planner will make reasonable efforts to update planning materials based on information provided by the Client.
10. PROFESSIONAL JUDGMENT
Client understands that the Planner is being hired for professional planning knowledge and experience.
The Planner may make recommendations regarding timelines, logistics, vendors, layouts, scheduling, and other wedding-related matters.
The Client retains the right to accept or decline any recommendation.
The Planner is not responsible for consequences resulting from a Client decision to disregard professional recommendations.
11. FEES & PAYMENT

A non-refundable retainer of $________________ is due upon signing this Agreement to reserve the wedding date.
The Client understands that the Planner is reserving time and availability specifically for the Client’s wedding date.
The remaining balance must be paid in full by the date listed above.
Services are not considered fully booked or guaranteed until the required retainer and signed Agreement have been received.
12. CANCELLATION BY CLIENT
If the Client cancels the wedding planning services, the retainer paid to reserve the date is non-refundable.
Any additional payments will be handled according to the cancellation terms stated in this Agreement and applicable law.
If the Client cancels after services have begun, the Client remains responsible for payment for services already performed and any non-refundable amounts specified in this Agreement.
13. WEDDING DATE CHANGES
If the Client changes the wedding date, the Planner will make reasonable efforts to accommodate the new date.
A date change is not guaranteed and is subject to the Planner’s availability.
If the Planner is unavailable on the new date, the change may be treated as a cancellation of the original booking.
Any retainer or payments will be handled according to the cancellation terms of this Agreement.
14. FORCE MAJEURE
Affinity Event Rentals shall not be held responsible for failure or delay in providing services caused by circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, government restrictions, acts of God, emergencies, illness, accidents, venue closure, transportation disruptions, or other unforeseen circumstances.
The Planner will make reasonable efforts to communicate with the Client and assist with alternative planning solutions when reasonably possible.
15. LIMITATION OF RESPONSIBILITY
Affinity Event Rentals will provide services in a professional and reasonable manner based on the information available to the Planner.
The Planner is not responsible for:
Vendor failures or misconduct.
Venue policies or decisions.
Weather conditions.
Guest behavior.
Client failure to complete assigned responsibilities.
Incorrect or incomplete information provided by the Client.
Changes made by the Client without notifying the Planner.
Delays caused by vendors, guests, venues, transportation, or other third parties.
Circumstances outside the reasonable control of the Planner.
The Planner does not guarantee a specific outcome, wedding experience, vendor performance, or event schedule.
16. PHOTOGRAPHS & MARKETING
Unless Client provides written notice stating otherwise, Client grants Affinity Event Rentals permission to use photographs or videos of the wedding, décor, event setup, and other non-sensitive aspects of the event for business purposes, including social media, website, advertising, portfolio materials, and promotional purposes.
The Planner will make reasonable efforts not to identify or publicly disclose private personal information about the Client.
Client may request in writing that photographs containing the Client or identifiable guests not be used for promotional purposes.
17. INDEPENDENT CONTRACTOR
Affinity Event Rentals is an independent service provider and is not an employee, agent, or partner of the Client.
This Agreement does not create a partnership, joint venture, employment relationship, or other business relationship beyond the provision of the contracted planning services.
18. ENTIRE AGREEMENT
This Agreement represents the understanding between the Client and Affinity Event Rentals regarding the Partial Wedding Planning Package.
Any changes to this Agreement must be agreed upon in writing by both parties.
Verbal promises, conversations, or understandings that are not included in this Agreement are not considered part of the Agreement.
19. ACKNOWLEDGMENT
By signing below, the Client acknowledges that they have read and understand this Agreement and understand the difference between partial wedding planning and full-service wedding planning.
The Client understands that Affinity Event Rentals will provide the planning services specifically described in this Agreement and that the Client remains responsible for completing the responsibilities assigned to the Client.
